The meeting was opened by Dr. Mohamed Abed, Vice President for Academic Affairs, who reviewed the agenda. The first axis focused on discussing observations related to question-setting systems and the mechanisms for organizing examinations through the University’s electronic platform, while confirming full technical readiness prior to the start of examinations in the coming days.

The second axis addressed the examination timetable and the need to take into account its concurrence with the holy month of Ramadan, ensuring that exams are scheduled at appropriate times that respect the nature of the month, without affecting the regularity of classes or the implementation of the approved academic plan.

In this context, Dr. Abed emphasized the importance of further developing the question bank in a manner that promotes fairness and equal opportunities among students, helps limit academic dishonesty, and provides sufficient flexibility to accurately and objectively assess each student’s individual capabilities.

For his part, the University’s Executive Director, Dr. Youssef Khairy, stressed that all university policies related to question-setting and examination systems are clearly published on the official website and are available in both Arabic and English to deans, faculty members, and students.

He underscored the necessity of adhering to these pre-approved policies and regulations, as they form an integral part of the University’s vision and strategic objectives, enhance the quality of the educational process, and elevate academic outcomes in line with international standards.

Deans of the Colleges Review Implementation Plans

The deans of the three colleges presented their respective procedures for examination readiness, confirming the preparedness of their colleges’ question banks. They affirmed that the banks include a sufficient number of questions covering the designated portions of the syllabus, with diversity among multiple-choice questions, true/false items, and essay-based questions to ensure comprehensive assessment.

The deans also discussed with the technical administration the procedures and technological solutions necessary to guarantee the optimal operation of examinations via the electronic platform.

The meeting further addressed midterm assignments for postgraduate students, emphasizing the importance of establishing an appropriate timeframe to ensure that submitted research meets advanced academic standards and is suitable for scholarly publication.

Deanship of Student Affairs and Pre-Exam Support Plan

In turn, Dr. Hanan Ahmed, Director of the Deanship of Student Affairs, presented the Deanship’s plan to support and guide students before and during the examination period. She explained that the Deanship’s role begins with coordination with faculty members and the collection of relevant data regarding each examination to ensure the provision of adequate student support.

The procedures include:

  • Activating communication channels to respond to students’ inquiries.
  • Ensuring that students are informed of schedules and technical and academic instructions.
  • Preparing reports on student attendance and regularity.
  • Recording requests for excuses and postponements in accordance with regulations.
  • Compiling and organizing examination lists administratively.
  • Sending repeated reminder notifications with a countdown prior to examination dates.

Approval of the Schedule and Final Recommendations

At the conclusion of the meeting, the start of the examinations was officially confirmed for the previously scheduled date on the University’s academic calendar, February 16, 2026, alongside a set of recommendations aimed at ensuring examinations proceed with the highest levels of discipline and efficiency.

Foremost among these recommendations was confirming that the introductory video explaining the examination system on the electronic platform reaches all students, clarifying login procedures and usage guidelines. In addition, a trial session will be conducted prior to the official examination date to ensure full technical readiness and to prevent any potential obstacles.
